Eazipay works with companies across the UK and Ireland to facilitate direct debit collections from customers, handling over £5.5 million worth of payments every month.
The organisation was founded in 2002 primarily to service the leisure industry but it soon diversified into other areas and now has over 300 clients across the UK and Ireland. It employs ten people at its headquarters near Ely, Cambridgeshire.
The company acts as a third-party facilitator to collect direct debit payments and pass the money back. Once clients grow to the size that they qualify to become a BACS service user in their own right, Eazipay can process direct debits via its Commercial Bureau service.
The business challenge
The organisation has grown very quickly over the past few years and naturally the amount of data accumulated has matched this growth. Not only does it have to store internal records relating to client contracts, but thousands of customer files including sensitive information such as bank details.
This data has to be filed and backed up to comply with legislation and in case of an emergency. Security is paramount given the contents of these files. Any breach or evidence of carelessness could cause substantial damage to Eazipay’s reputation and put clients details at risk.
The danger of multiple records also increased as staff were working off different documents and not necessarily saving the correct version.
Up until the latter part of 2008, all information was backed up in-house but this was becoming unsustainable and the existence of duplicated records was a growing problem. Consequently Eazipay began to look for an alternative solution that required very little time to train staff.
Moving to the cloud
After exploring at the on-demand storage and collaboration market and seeking advice from trusted IT contacts, Eazipay decided to work with humyo to securely back up all its data off-site.
Just a few months later, it has had a significant impact on the business and the margin for human error has been dramatically reduced as all files are stored online, allowing for the most recent version to be shared. Eazipay also has peace of mind that both customer and company information is securely held on Humyo’s servers, located in a former Bank of England vault.
“We were able to start using the Humyo business solution straight away, it’s given us a much greater element of control as staff can now update records centrally and management can control who has access. It is also very simple to use with no complicated training,” said Luisa Grey, operations director and co-founder at Eazipay. “Using an on-demand product has significantly changed the structure of the business and will help us grow in the future.”
